Release Time Appointments

Release time appointments occur when a department and college approve the release of an individual to enable them to participate on one or more sponsored projects. Release time appointment forms are submitted to the Research Foundation Project Payroll department for current or future time frames. The forms must be submitted to the Research Foundation by the monthly department payroll deadline for processing in the same month (see OHR web site for pay calendar). Project Payroll enters the appointments in the Human Resources System.

The release time appointment has no effect on the basic pay arrangement of the employee. The appointment can only be released from the following general fund values: 011000, 011200 and 013000. The employee’s time and funds will be charged against the project (sponsor paid) for which the university org number is reimbursed using the 017000 fund.

Release time is the preferred method for processing nine month employees working on sponsored research. This process allows the employee to be encumbered and expensed to the sponsored project at the nine month rate instead of at the twelve month pay rate. If the employee is not on one of the approved general funds, the employee must use a direct appointment.

Additional Information

The "Release Time Appointment" form and instructions are available on the Research Foundation web site forms page.
